Generate Organisation Charts automatically

Auto Build functionality concept

A new release of ñ360 Relationship Charts has “Auto Build” functionality that helps users build a whole current organisation chart and a chart with sub-accounts within several mouse clicks.

How Organisation Chart building works

Build Organisation Chart functionality works in the following way – it adds all contacts from the current account and additionally brings all the subordinate contacts to the contacts of this account and then repeats this procedure. So in other words it recursively adds all contacts who have hierarchical relationships with the contacts of the current account.

It means that on the account organisation chart it will be possible to see not only contacts working for the current organisation but also contacts who work for subsidiaries of this organisation and who report to the contacts from the current organisation.

How to build an Organisation Chart

To build an Organisation Chart using the Auto Build functionality you will need to perform the following steps:
  1. Open the Chart designer
  2. Click on the main menu Auto Build Org Chart
Relationship Charts Auto Build toolbar

And then you will see an organisation structure for the current account: Automatically built Organisation Chart

Note that if your organisation structure is complex and there are relations between contacts from different accounts (companies) then they will also be seen on the chart: Automatically built Organisation Chart

As you can see from the example above, although Alan Jarvis and Kevin Campbell are not from the current company, but since they have “Reports To” relation – “Alan Jarvis” to “John Smith” and “Kevin Campbell” to “Alan Jarvis” they were brought to this chart.

What Microsoft Dynamics CRM relationships are used to build the Organisation Chart and where they are kept in Microsoft CRM

By default this type of relation is stored in “Contact Relationships” with “Reports To” role: Relationship Charts Auto Build toolbar

How to build a Sub-accounts Chart

To build a Sub-accounts Chart follow the same approach as the one described in the Organisation Chart: open the designer and click on Auto Build Sub Accounts. It will build a tree of accounts with a hierarchical relation: Automatically built Sub-accounts Chart

How to configure the charts to be regenerated automatically

If you would always like to see the current organisation structure (or accounts – sub-accounts structure) then you can use two new options on the chart form to automatically add new contacts/accounts to the chart when user opens the chart viewer/designer.

In this case there is no need to click on Auto Build functionality:

  1. Build Org Chart OnStartup – automatically runs the “build current organisation chart” functionality and realigns results when user opens the chart.
  2. Buid SubAccounts Chart OnStartup – automatically runs the “build current sub accounts chart” functionality and realigns results when user opens the chart.

Note: Please be aware that in this case all your changes in the actor positions on the charts will be lost.

Two options can be switched on at the same time; in this case result chart will have two parts of contacts and accounts.
